Legal Terms and Conditions

Introduction

These Terms & Conditions ("Terms") govern the relationship between the travel company operating in Tanzania / Zanzibar ("the Company", "we", "us") and you ("the Client", "Traveler", "Participant"). By accessing our website, making a booking, or participating in any tour, travel package, or volunteer program, you confirm that you have read, understood, and accepted these Terms.

1. Scope of Services

The Company provides travel-related services including but not limited to accommodation arrangements, local transportation, guided tours, excursions, volunteer and community-based programs, and cultural experiences. Specific inclusions and exclusions are outlined in the respective booking confirmation.

2. Booking & Contract Formation

A booking becomes legally binding once availability has been confirmed in writing and the required deposit or full payment has been received. Deposit has to be paid immediately after booking. The Company reserves the right to refuse any booking at its discretion.

3. Prices & Payments

Prices are quoted in USD, EUR, or TZS as stated. Prices may change due to exchange rates, government taxes, fuel costs, or other unforeseen circumstances. Full payment must be received before the start of the program unless otherwise agreed. All bank charges and transfer fees are the responsibility of the client.

4. Refund & Cancellation Policy

We understand that travel plans can change. Our refund policy is designed to be fair to clients while covering costs already committed to local partners and services.

4.1. Booking Deposit

An initial deposit is required to confirm a booking.
The deposit is non-refundable once the booking is confirmed, as it is used to secure accommodation, placements, logistics, and administration.

4.2. Full Refund

A full refund of the amount paid, excluding the deposit, will be provided if: Cancellation is made 30 days or more before the program start date.

4.3. Partial Refund

If cancellation is made after the balance payment, the following applies:

  • 14–29 days before arrival:
    → 50% refund of the remaining balance (excluding deposit)
  • 7–13 days before arrival:
    → 25% refund of the remaining balance (excluding deposit)
  • Less than 7 days / No-show:
    → No refund
4.4. Non-Refundable Costs

The following costs are non-refundable under any circumstances: Booking deposit, Visa-related fees, Government or conservation fees, Third-party services already paid, Bank or transaction charges.

4.5. Refund Processing

Refunds will be processed using the original payment method. Processing time is 7–30 business days. Currency exchange differences may apply.

4.6. Special Circumstances

In cases of medical emergencies or force majeure, refund requests will be reviewed individually and handled as fairly as possible.

5. Travel Documents & Entry Requirements

Clients are solely responsible for ensuring possession of valid passports, visas, vaccinations, permits, and travel documents. The Company is not responsible for denied entry, deportation, or related costs.

6. Health, Fitness & Participation

By booking, Clients confirm they are physically and mentally fit to participate. All relevant medical conditions must be disclosed prior to arrival. The Company reserves the right to exclude participants whose behavior or condition poses a risk to themselves or others.

7. Insurance

All Clients are strongly required to obtain comprehensive travel insurance covering medical expenses, emergency evacuation, trip cancellation, and personal liability. Unless explicitly stated, the Company does not provide insurance coverage.

8. Liability & Risk Acknowledgement

Travel in Tanzania and Zanzibar involves inherent risks including road conditions, wildlife, weather, health risks, and infrastructural limitations. Participation is at the Client's own risk. The Company's liability is limited to the maximum extent permitted under Tanzanian law.

9. Accommodation, Transport & Third-Party Providers

The Company works with independent service providers. While partners are carefully selected, the Company is not liable for acts, omissions, or negligence of third-party providers.

10. Code of Conduct

Clients are expected to respect local laws, culture, communities, and the environment. Serious misconduct may result in immediate exclusion without refund.

11. Volunteer & Community Programs

Volunteer programs are intended for cultural exchange and community support and do not constitute employment. No guarantees are made regarding outcomes, impact, or specific tasks.

12. Photography & Media Use

Unless objected to in writing, Clients grant permission for the use of photographs or videos taken during programs for marketing purposes. Consent may be withdrawn at any time.

13. Data Protection & Privacy

Personal data is collected solely for operational purposes and handled confidentially in accordance with applicable data protection laws. Further details are outlined in the Privacy Policy.

14. Force Majeure

The Company is not liable for failure to perform obligations due to events beyond reasonable control, including natural disasters, pandemics, political unrest, or government restrictions.

15. Governing Law & Jurisdiction

These Terms are governed by the laws of the United Republic of Tanzania. Any disputes shall be subject to the exclusive jurisdiction of Tanzanian courts.

16. Amendments

The Company reserves the right to amend these Terms at any time. The version applicable is the one published at the time of booking.
